JOB DESCRIPTION
Position Summary:
Reporting to the Senior Program Officer of Exchange Visitor and Grant Programs (EVGP), the Assistant Program Officer will support the Edmund S. Muskie Internship Program and other EVGP inbound programs as needed through administrative support, customer service, program compliance, and other program support efforts.
RESPONSIBILITIES
- Essential Duties and Responsibilities:
- - Program Management -
- Manages electronic applications, including preparing documentation for selection process
- Researches host organizations for Muskie finalists based on intern field of study
- Manages online engagement among program participants, program presence on social networking sites and program accounts
- Assists Program Officers in developing content for orientation sessions and program arrangements for participants
- Prepares logistical arrangements for participant orientation and debriefing sessions (hotel and transportation)
- Manages all participant travel logistics
- Assists with inputting data into Salesforce
- Assists EVGP Team with planning and logistical arrangements for grant programs throughout the year
- - Client Relationship Management -
- Assists in responding to applicant inquiries
- Manages post-selection electronic participant communication
- Maintains regular communication with potential host organizations and applicants throughout selection process
- - Professional Development -
- Develops and maintains an advanced knowledge of legal regulations, Cultural Vistas policies, and their applications
- Takes proactive approach to improve business functions and workflow within department
- Strong personal commitment to continual professional development

QUALIFICATIONS
- Skills and Abilities Required:
- Advanced understanding of program management with ability to conduct site visits to orient host internship sites with program goals; developing understanding of budgeting processes
- Ability to multi-task, to prioritize workload, to organize, and make decisions in a deadline sensitive environment
- Demonstrated ability to anticipate outcomes and problem solve
- Strong analytical skills, good judgment and critical thinking skills

- Computer Equipment and Software Experience Required:
- Must be proficient in Microsoft Suite products.
- Education and Experience Required:
- Education -- Bachelor’s degree in International Relations, Business, Political Science, Public Policy, or other related degree required.
- Years of Experience -- Minimum of 2-3 years of administrative, customer service, client relations management or program management experience required. Prior international and/or educational experience preferred. Interest in Central Asia and Eastern Europe a plus.
- Physical Demands of Position:
- Domestic and international travel may be required. Work on weekends, holidays, and evenings will be required.
